1. Introduction
This Privacy Policy describes how NetFlare ("we," "us," or "our") collects, uses, and protects information when you use the NetFlare ER:LC server management bot and related services ("the Service"). We are committed to protecting the privacy of our users and handling data responsibly and transparently.
By using the Service, you consent to the data practices described in this Privacy Policy. If you do not agree with these practices, please do not use the Service.
2. Information We Collect
NetFlare collects only the minimum data necessary to provide its core functionality. The following information may be collected and stored:
- Discord User IDs: Unique numeric identifiers associated with Discord accounts. Used to track verification status, moderation history, and permission levels.
- Discord Server (Guild) IDs: Unique identifiers for Discord servers where NetFlare is active. Used to associate configuration data, logging preferences, and subscription status.
- Message Content: Edited and deleted message content may be temporarily cached for logging purposes when message logging is explicitly enabled by a server administrator. Cached messages are automatically purged after 7 days.
- Roblox Account Data: If Roblox verification is enabled, we store the linked Roblox user ID and username for nickname synchronization and verification purposes.
- ER:LC Join/Leave Logs: When ER:LC integration is active, we collect player join and leave events, including Roblox player names, IDs, join timestamps, and session durations. This data is used solely for server administration and security monitoring.
- Moderation Action Logs: Records of moderation actions (bans, kicks, mutes, warnings) including the acting moderator, target user, reason, and timestamp.
- Configuration Data: Bot settings, channel assignments, permission overrides, and feature toggles set by server administrators.
- ER:LC Private Server API Keys: When ER:LC integration is configured, server owners provide their Private Server API key. This key is stored using AES-256 encryption and is used exclusively by automated systems to communicate with ER:LC servers on your behalf. See our binding commitments below.
3. How We Use Your Data
All collected data is used exclusively for the following purposes:
- Providing and maintaining core bot functionality (verification, moderation, raid protection).
- Enabling ER:LC private server management and player tracking.
- Generating server-specific analytics and audit logs for administrators.
- Detecting and preventing abuse of the Service.
- Improving the Service through anonymized, aggregated usage statistics.
NetFlare is legally and contractually bound to NEVER sell, distribute, lease, license, trade, or otherwise disclose any user data or ER:LC Private Server API keys to any third party, under any circumstance, except where strictly required by law or court order.
Your data is never monetized. Your API keys are never exposed to human operators. This is a binding corporate obligation enforceable under our Terms of Service (Section 6).
4. Data Storage & Security
Your data is highly secured and encrypted to prevent data breaches. We store everything on secure, encrypted servers and implement industry-standard security measures including:
- AES-256 encryption for data at rest.
- TLS 1.3 encryption for data in transit.
- Role-based access control for internal systems.
- Regular security audits and vulnerability assessments.
- Automatic data purging after defined retention periods.
While we take reasonable precautions, no method of electronic storage or transmission is 100% secure. We cannot guarantee absolute security of your data.
5. Data Retention
Data is retained only for as long as necessary to provide the Service:
- Message Cache: 7 days (Free) / 30 days (Plus), then automatically purged.
- Moderation Logs: Retained for 90 days, then archived or purged based on server settings.
- ER:LC Logs: Retained for 30 days, then automatically purged.
- Configuration Data: Retained while NetFlare is active in the server. Deleted 30 days after the bot is removed.
- Verification Data: Retained while the user is a member of a server using NetFlare. Purged upon request.
6. Data Sharing
We may share data only in the following limited circumstances:
- Server Administrators: Moderation logs, verification status, and ER:LC logs are accessible to server administrators who have enabled these features.
- Legal Compliance: We may disclose data if required by law, court order, or governmental regulation.
- Service Providers: We may use third-party hosting and infrastructure providers who process data on our behalf under strict confidentiality agreements.
7. Your Rights
You have the following rights regarding your data:
- Right to Access: Request a copy of the data we hold about you.
- Right to Deletion: Request deletion of your personal data. Note that some data may be retained for legal or operational purposes.
- Right to Correction: Request correction of inaccurate data.
- Right to Portability: Request your data in a machine-readable format.

8. Children's Privacy
The Service is not directed to children under the age of 13. We do not knowingly collect personal data from children under 13. If we become aware that a child under 13 has provided personal data, we will take steps to delete such information promptly. Discord's own Terms of Service require users to be at least 13 years old.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through our official Discord server and/or website. The "Last updated" date at the top of this page reflects the most recent revision.
